CUSTOMER SERVICE REPRESENTATIVE

JOB TITLE: 

Customer Service Representative 

 

REPORTS TO: 

Customer Service Manager 

  

GENERAL JOB DESCRIPTION 

The Customer Service Representative works directly with both new and already established customers. They are responsible for building and maintaining relationships with customers and providing administrative support throughout the order process. They manage workflow within the team and with other departments.  

PRIMARY DUTIES AND RESPONSIBILITIES 

  • Their primary responsibility is to provide every customer with the best experience possible from the quoting stage to delivery of the order. 

  • Documents all communications and activities into a customer relationship management tool every day. 

  • Coordinates and communicates with all involved departments as orders move through the process. 

  • Processes sales orders and purchase orders. 

  • Creates quotes based on client needs. 

  • Manages inquiries via phone, email and chat. 

  • Acts as back up to other Customer Service Representatives as needed. 

  • Works with manager to organize and prioritize the workflow to meet customer goals and timelines. 

  • Communicates effectively to provide exceptional customer service to internal and external customers. 

  • Processes payments – both deposits and balances. 

 

SECONDARY DUTIES AND RESPONSIBILITIES 

  • Assisting with special projects as needed. Including (but not limited to) process documentation, product management and other administrative tasks. 

 

QUALIFICATIONS FOR THE JOB 

Education:  

  • Associate degree (NOTE: A comparable combination of education/experience and/or training will be considered equivalent to the education listed.) 

 

Experience:  

  • 2-3 years sales/customer service experience  

  

KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES 

  • Strong CRM experience  

  • Strong Microsoft Office – Word, Excel and PowerPoint. 

  • Strong interpersonal skills. 

  • Exceptional written communication skills. 

  • Demonstrated ability to communicate effectively with internal and external customers. 

  • Strong organizational skills, detail oriented, exceptional time management skills. 

  • Ability to work in a fast-paced deadline driven environment. 

  • Ability to multi-task and prioritize based on business needs. 

  • Swift and thoughtful problem solving. 

  • Demonstrated record of success in delivering customer solutions based on identified needs. 

  • Ability to work effectively as part of a team as well as individually. 

 

Monday – Friday | 8 am – 5 pm | $18 - $20 per hour
